From Sticky Notes to Real Outcomes: Ending Design Waste

Workshops often end in a vibrant storm of sticky notes, inspired talks, and big ideas! But then, reality hits. Too often, the momentum fades out, the notes and stickies gather dust, and brilliant concepts disappear before turning into action. Back in 2015, I named this dilemma design waste: the creative gold lost somewhere between brainstorm and implementation. For years, I searched for ways to bridge that gap and presented about it at conferences and events. Every single person who was experienced with sessions, both as facilitator and participant, recognized this pattern and sense of waste.

Back in 2015, I named this dilemma design waste: the creative gold lost somewhere between brainstorm and implementation. For years, I searched for ways to bridge that gap and presented about it at conferences and events. Every single person who was experienced with sessions, both as facilitator and participant, recognized this pattern and sense of waste.
My Journey Battling Design Waste
Working with MediaLAB Amsterdam , in our highly successful program Design Across Cultures, I saw global teams deliver game-changing ideas, and gather amazing insights in the process, only to watch value slip away because their documentation was inconsistent or missing. The Design Method Toolkit we developed helped by giving teams a shared method language, fostering better comparison and collaboration, but still it wasn’t a silver bullet.

Later, driven by the Global Goals Jam (HQ) , we worked on a mobile app called SCREAM, aiming to let people choose methods, use them, and instantly document on their phones. Kind of like a full ethnographic device in your pocket.

However, the documentation step flopped. People skipped it; it just felt like extra work. And it was still just a photo of a bunch of stickies or sketches. Context and interpretation had to be done by the user.

What did we learn? Any system that depends on willpower for documentation is set up to fail.
Fast Forward to 2025: Will AI Bring the Breakthrough?
Now, a fresh era has arrived. For the first time, facilitators can truly close the loop: choose methods, run sessions, and document automatically, not just manually.
Here’s how it often works:
- Capture: Tools like Otter.ai, Fireflies, and Granola automatically transcribe who said what, eliminating the need for manual note-taking.
- Cluster: GenAI features in Miro, SessionLab, and Notion automatically group sticky notes, comments, and insights into actionable themes.
- Summarize: AI transforms messy workshop data into clear, actionable summaries - even highlighting next steps.
- Actionize: Platforms like Metodic.io instantly generate agendas, method selections, excercise sheets, full ROI packs, and will probably generate outcome reports, getting deliverables to stakeholders before the post-workshop energy fades.
For the first time, documentation isn’t a chore but a natural part of the facilitation process.

1. Promise Real Outcomes: Tell participants, “You’ll leave with a summary and action plan.” This builds trust and sets a higher bar.
