Remote-First Round

In a hybrid meeting, every round of input starts with the remote participants, then moves to the room. Speakers signal clearly when they have finished and may hand over to the next speaker by name. The facilitator uses the tool's hand-raise order as the speaking queue for everyone, in the room and online, and leaves longer pauses than they would in person.

When to use Remote-First Round

Use whenever a decision or discussion in a hybrid meeting needs input from everyone, not just whoever is in the room.

What it solves

Online voices arrive a second late and get talked over by the room, so remote people stop trying.

How to run Remote-First Round, step by step

  1. At the start, agree the meeting rules: remote first, raise hands in the tool even in the room, one speaker at a time (2 min).
  2. Put the question on screen and give a short silent thinking moment (1 min).
  3. Call on remote participants first, in a named order (5-10 min).
  4. Move to the room, using the tool's hand-raise order (5-10 min).
  5. Read out chat contributions as part of the round, not after it.
  6. Summarise what you heard before moving to the next item (1 min).

  • A device per in-room participant for chat
  • The question shown on screen

Facilitator tips

  • Wait longer than feels natural for answers. Lag makes silences shorter on the remote side than in the room.
  • Ask speakers to end with a clear handover: "That's me. Priya, you next."
  • Name the order upfront so remote people can prepare.

Common pitfalls

  • The room starts reacting to the first remote answer and the round turns into an in-room debate.
  • In-room people ignore the hand-raise queue because they can just speak up.

Variations

  • Alternate who goes first between meetings if the group is split roughly half and half.

Running it online or hybrid

Needs the meeting tool's hand-raise feature and a visible participant list. Everyone in the room keeps the meeting chat open on a device.

A round where every person has spoken once, captured in notes, and a queue that the room and remote people share.
