What a workshop planner should do

Most planners stop at the agenda: a list of blocks with times next to them. That is the easy part. The hard part is choosing activities that fit the goal and the group, and then getting everything ready for the day.

A workshop planning checklist

Whatever tool you use, these are the questions a good workshop plan answers.

  • Write the outcome as a sentence: by the end, the group has decided, made or learned what?
  • Know who is in the room and what they already think about the topic.
  • Plan time backwards. Reserve the closing and the decisions first, then fill the middle.
  • Alternate individual thinking, small groups and the full group.
  • Put the hardest thinking before the energy dip after lunch.
  • Plan a break every 75 to 90 minutes.
  • Prepare materials per activity, not per day.
  • Decide how you capture the output and what happens with it afterwards.
